Project Overview
The Billing and Management System was created to help simplify how billing records, payments, users, and monthly reports are managed in one organized system.
Instead of relying only on manual spreadsheets, repeated calculations, paper records, or scattered payment notes, the goal was to create a cleaner digital workflow where user accounts, billing records, payment details, month/year records, and reports could be managed in a structured way.
This project focused on making the billing process easier to track, easier to update, and easier to review.
The Challenge
Billing and payment management can become difficult when records are handled manually. Common problems include missing payment details, repeated encoding, unclear user records, manual calculation errors, and difficulty checking which users have paid or still have balances.
The system needed to support a practical billing flow that could be used by administrators without making the process too complicated.
The main challenges included:
- Creating a simple way to manage user records
- Assigning clear user IDs, bill IDs, and payment IDs
- Setting up monthly billing records
- Calculating usage-based charges accurately
- Tracking cash payments
- Making reports easier to review
- Reducing repeated manual entry
- Keeping the workflow simple enough for daily use
The Solution
Ael Techie Workz planned the system around a clear billing workflow: user record creation, monthly bill generation, usage entry, charge calculation, payment recording, and report review.
The structure included custom ID formats to make records easier to identify:
- User ID format: U001 and upward
- Bill ID format: B001 and upward
- Payment ID format: P001 and upward
The billing logic was designed to support a fixed base rate and usage-based calculation. For the water billing setup, the first 1–2 cubic meters are charged at ₱100, while additional usage is charged at ₱50 per cubic meter.
The system also included month and year dropdowns so billing records can be organized by billing period instead of manually typing dates every time.
Key Features Planned
User Management
The system includes user records with assigned IDs, names, and relevant account details. When selecting a user by name, the corresponding user ID can automatically load to reduce typing errors.
Billing Records
Each bill can be connected to a user, billing month, billing year, meter reading or usage value, rate, and computed total.
Payment Tracking
The payment form is structured to connect payments to the correct user and bill. The default payment method is Cash, keeping the process simple for local billing collection.
Rate Logic
The billing calculation was designed to make the rate easy to apply consistently:
- 1–2 cubic meters: ₱100
- Additional cubic meters: ₱50 per cubic meter
Reports and Visual Tracking
The report section can include tables and visual summaries to help administrators review paid bills, unpaid bills, monthly totals, and user balances.
Tools and Approach
The system was planned using a low-code and database-style approach, making it easier to manage forms, dropdowns, tables, reports, and calculated fields without needing a heavy custom-coded platform from the start.
The focus was on practical usability: clear forms, consistent IDs, dropdown fields, and simple admin workflows.
Result
The Billing and Management System provides a more organized way to manage users, monthly bills, payment records, and reports. It reduces repetitive manual work, improves record consistency, and gives administrators a clearer view of billing activity.
For small communities, local billing groups, or utility-style recordkeeping, the system gives a practical foundation that can be expanded with dashboards, charts, automated reminders, and printable reports.
